What will you do at Ciena?

Seeking enthusiastic and highly organized Events Associate to joining the Global Events Marketing team to plan, manage, and executed all aspects of small meetings and events of up to 50 attendees.

Responsibilities:

  • Key areas of focus include event registration, preparation and operation, finance, contract management and logistics. This role has a strong focus on digital tools and software to help execute flawless events.
  • Create, manage and execute small Quarterly Business Review and internal meetings, which includes hotel and vendor sourcing, small contract negotiations, setting budget expectations with stakeholders, leading planning calls, creating action registers, managing rooming lists/updates with hotel, troubleshooting and problem solving for event participants, sourcing gift items and program amenities, and managing communications, branding and onsite activation according to Ciena’s brand guidelines.
  • Provides key operational and event insights by creating content for and leading the build of program registration websites, managing attendee and event data, preparing program reporting, status reports, presentations, and providing recommendations on creating efficiencies where possible.
  • Event budget management support by owning a variety of logistics disciplines, including but not limited to budget tracking, PO creation, organizing and submitting invoices for payment, credit card payment receipt tracking, following up on payments for suppliers when needed, and managing contracts through the signature/Procurement process.
  • Ability to travel and provide onsite operation for events.

Skills:

  • Experience with hotel Sourcing, event website creation and management in Cvent
  • Highly organized and detail oriented, and operates with a commitment to delivering quality outcomes
  • Ability to produce a creative atmosphere for learning, information sharing and real-time problem solving
  • Possess excellent communication and interpersonal skills; both written and oral
  • Mobile Application Planning
  • Ability to work flexible hours including some weekends when traveling
