Duties and Responsibilities

  • Oversee the processing of multi-state, in-house payroll for exempt, nonexempt, and hourly (with shift differentials) employees across two companies while accounting for the funding of all payroll deductions to third parties and tax authorities.
  • Manage workflow to ensure all payroll transactions are processed accurately and timely.
  • Reconcile payroll prior to transmission and verify exceptions or anomalies.
  • Understand proper tax treatment and processing requirements for wages and employer paid benefits. 
  • Set-up and maintain all state tax accounts for both companies. 
  • Ensure all wage garnishment notifications are entered into the payroll system timely and verify proper withholding and remittance.
  • Calculate company paid offsets for employees on qualified leaves of absences. Ensure payments are processed in accordance with LOA policies.
  • Maintain proper documentation, including policies and procedures, for the department.
  • Receive and document any necessary approvals prior to processing any non-standard payments. 
  • Ensure that payroll vendor processes accurate and timely year end reporting (ACA, W-2, etc). 
  • Work closely with the People Operations Team on Workers Comp, ERISA, and EEO requirements and filings.
  • Work with accounting team to calculate and update any accruals. 
  • Reconcile reports and statements from Paylocity, including payroll journal entries and correcting entries as needed. 
  • Develop ad hoc financial and operational reporting as needed. 
  • Monitors changes and remains current on legal, regulatory or governmental requirements (e.g., wage and hour, garnishments, tax matters, 401(k) and other benefit deductions). 
  • Oversee the preparation of required reports to government agencies, insurance companies, or parent company. 
  • Maintain the Payroll and Time & Attendance system and work with the systems solutions team on systems updates, upgrades, and down time. 
  • Champion for our employees by resolving payroll processing incidents quickly and efficiently.
  • Assist with relevant audits and reviews (financial statements, 401k plans). 

Qualifications

  • Bachelor’s Degree in Accounting or Business Administration or related field or an equivalent combination of education and experience.
  • Minimum of 7 years experience calculating and processing in-house payroll 3. Prior supervisory experience strongly preferred.
  • Prior experience with payroll/ HRIS/ and time and attendance system required. General ledger systems experience preferred.
  • Experience with Paylocity strongly preferred.
  • Thorough knowledge of applicable Federal and State HR/Payroll Laws (FMLA, FLSA, e.g.) and IRS regulations that impact payroll. 
  • Excellent processing skills and attention to detail.
  • Ability to meet deadlines.
  • Excellent written and oral communication skills.
  • Self-motivated, independent, cooperative, flexible, creative, and responsible 11. Must be detail oriented and comfortable working in a fast-paced and rapidly changing environment.
  • Ability and experience working as a member of a team.
  • Must possess excellent organizational skills and be extremely flexible to meet customer demands, in addition to being able to work independently and prioritize multiple tasks in a changing environment with a high degree of accuracy.
  • Skilled in the use of Google Suite products and willingness to experiment and work with new technologies.

  • Hours:  We maintain core meeting hours from 9AM - 3PM Pacific time for collaborating with team members across all time zones.
